Abu Dhabi Golf Homes·Privacy notice

How we handle your personal information.

This notice explains what La Palma Properties LLC collects about you when you use abudhabigolfhomes.com, when we write to you at a business address your organisation has published, and when you reply. It is written to be read, not skimmed; the short version is that we keep little, we do not sell it, and one reply or email to us stops all marketing contact.

Who we are

The data controller is La Palma Properties LLC, an independent real-estate brokerage registered in Dubai, United Arab Emirates. Abu Dhabi Golf Homes is the name we use for our advisory service for golf-front homes on Hudayriyat Island, Abu Dhabi. What this notice covers

It covers personal information we handle in three situations:

  • you send us an enquiry through the form on abudhabigolfhomes.com, by email, or by WhatsApp;
  • we write to you first, by email, at a business email address that your organisation has published, or that was published for an event you spoke at;
  • you reply to us, or we go on to help you reserve a property.

It does not cover the developer's own website or sales process, WhatsApp's or Google's own handling of your data, or any other website we link to. Each of those has its own notice.

The information we collect and where it comes from

(a) Details you send us

When you use the enquiry form or write to us by email or WhatsApp we receive what you choose to give us: typically your name, email address, telephone or WhatsApp number, country of residence, what you would like (a call, the briefing pack), a preferred time, and your message. The form also records the time you ticked the consent box and the exact wording you agreed to, so that we can show what you consented to. If you reach us from a link in an advertisement or email, the form passes on the campaign tags in the address bar and the page you came from, so we know which campaign led to the enquiry. A truncated hash of your IP address goes into our security log for rate-limiting and abuse prevention; the full address is not stored.

(b) Business contact details published by your organisation

If we write to you first, we have only what your own organisation, or the organiser of an event you spoke at, has published about you in your professional capacity:

  • your name and the role or title shown on the page;
  • the name of your organisation;
  • a business email address and, if it is printed on the same page, an office telephone number, only if it is literally printed on that page; we never guess, generate or buy addresses. We do not use the telephone number to call you unsolicited: it is kept with the record and used only if you ask us to call;
  • the address of the page it came from, the date we read it, and the exact text on the page that we relied on.

We do not collect personal or consumer email addresses this way; if a page shows one, it is discarded. We do not collect or record anything about your wealth, family, home, health, religion, political views, club memberships or photographs, and we do not look you up on social networks, people-search sites or data brokers. Each page is read by software that respects the site's robots rules, keeps a pause between pages and never goes behind a login. The details then wait in a review queue, where a person at La Palma Properties looks at each entry and decides whether to write to you at all; nothing is sent to you without that decision and a second, separate human approval of the actual message.

(d) Do you have to give us anything?

No. Nothing you give us is required by law or by a contract. If you choose not to give us an email address, telephone number or WhatsApp number we will not be able to reply to you on that channel. If you go on to reserve a property, UAE law requires us to collect identity and anti-money-laundering information before we can act for you, and we will tell you exactly what is needed at that point.

(c) Your replies

If you reply, we keep the reply and our correspondence with you, including anything you tell us about what you are looking for. If you ask us to stop, your address is placed on our suppression list and the record is closed; if you ask us to delete you, we keep only what we need to make sure we never contact you again (see How long we keep it).

Why we use it and the lawful basis for each use

Answering your enquiry
To reply to you, send the briefing pack and arrange a call by email, phone or WhatsApp, as you asked. Lawful basis: your consent, given when you ticked the box on the form or wrote to us. You can withdraw it at any time.
Writing to professionals at published business addresses
To introduce our advisory service, in a short email and at most two follow-ups (at least three days apart, and none once you have replied), to people whose organisation has published their business contact details for professional contact, and to invite a 15-minute call. Lawful basis: our legitimate interest in making relevant, one-to-one business introductions, which we have assessed and recorded in a legitimate-interest assessment (reference [LIA reference to be added by the owner]) that you may ask to see. You have the right to object at any time, without giving a reason, and we stop as soon as we receive your objection. We do not rely on this basis for personal email addresses, for WhatsApp or telephone, or in countries whose law requires consent for business email.
Helping you reserve a property
If you decide to go ahead, to prepare and pass the details the developer needs for a reservation, keep you updated and carry out the identity and anti-money-laundering checks that UAE property law requires of brokers. Lawful basis: performance of a contract with you, and compliance with our legal obligations.
Keeping records and protecting the service
To keep an audit trail of what we sent and when, prevent abuse of the enquiry form, and to be able to show that we honoured your choices. Lawful basis: our legitimate interest in running the service securely and accountably, and legal obligations where they apply.

We do not make automated decisions about you, do not profile or score you, do not use your details to target advertising, and never add you to a mailing list.

How we found your details

If the first message you received from us was one you did not ask for, this is how it happened. The footer of every such email is written by the system, not by hand, and says where your details were found and how to stop, in these words:

"You're receiving this because your business contact details are published on <site>. Privacy notice: abudhabigolfhomes.com/privacy.html. If you'd rather not hear from me, just reply 'no thanks' and I won't contact you again."

The named site is the only source of your details; we do not combine it with anything else. Our policy is to send that first message within one month of reading the page, and in any event before any further contact, so that you can object before anything else happens; if we have not written to you within a month, we delete the entry instead. If we decide not to write to you, you will not hear from us at all, and the entry is dealt with as described under How long we keep it. You can ask us at any time which page your details came from and what it said.

Who we share it with

We do not sell personal information and we do not share it with anyone for their own marketing. The organisations that process it on our behalf, or that receive it because you chose a channel they run, are:

  • Google Workspace (Google LLC): our email, calendar and video-call service. Every email we send or receive, and every meeting invitation, passes through it. [owner: if Microsoft 365 or Zoom is enabled instead, name it here]
  • Anthropic, PBC: an AI provider whose models help us draft messages and sort replies. A request to stop is recognised by fixed rules before any AI is involved, and every draft is checked and approved by a person before it is sent. Under our agreement with Anthropic your data is not used to train its models [counsel to confirm against the current Anthropic commercial terms and data-processing addendum].
  • DigitalOcean, LLC: hosts this website. [owner: name the hosting provider and region of the outreach database once deployed]
  • WhatsApp (Meta Platforms): only if you choose to contact us on WhatsApp, or ask us to reply there. Your messages are then also handled by WhatsApp under its own terms and privacy policy.
  • The developer of Hudayriyat Golf Estates (Modon): only when you ask us to reserve a property, and only the details the reservation requires.
  • Authorities and professional advisers: where the law requires it, for example anti-money-laundering reporting, or to defend a legal claim.

International transfers

We are based in the United Arab Emirates, so your information is handled here. Our service providers process it in the United States and [owner: confirm each provider's processing regions]. If you live in the United Kingdom, the European Economic Area or another country with data-transfer rules, this means your information leaves your jurisdiction, and the UAE has no adequacy decision from the UK or the EU.

For enquiries you send us through the form or by message, the transfer takes place on the basis of the consent you give when you contact us, which the form wording and this notice explain. For business contact details we obtained from your organisation's published pages, and for our providers' processing, the transfer mechanism is [counsel to confirm: for example the UK International Data Transfer Agreement / EU Standard Contractual Clauses with each provider, any adequacy decision that applies, or the Art. 49 derogations relied on]. You can ask us for a copy of the relevant safeguards at the email address above.

How long we keep it

Enquiries you send us
Kept for [retention period to be set by the owner] after our last contact, unless you ask us to delete them sooner.
Published business details, before we decide whether to write
If no decision has been made within 90 days of reading the page, the entry is closed and our copy of the page is deleted. If we decide not to write to you, the entry is closed with the reason. A closed entry (name, role and the printed contact line) is kept for [period to be set with counsel; owner: not yet purged automatically] so that the same page does not put you back in the queue, then deleted.
People we decided to write to but never did
Deleted one month after we read the page, or earlier.
People we wrote to who never replied
Deleted after [period to be set with counsel] from our last message.
People we corresponded with
Kept for [period to be set with counsel] after our last contact, or longer where we must keep transaction records by law.
Opt-outs and deletions
When you ask us to stop, your address goes on our suppression list. When you ask us to delete you, we remove your details and keep only a one-way cryptographic hash of each address you used, so that if it ever reaches us again it is blocked automatically, plus a record number, status and dates with no personal values and the audit entries described below. The hash cannot be turned back into your address and is used for nothing else.
Audit log
Records that a message was sent, approved or suppressed, by reference number and field name, without the personal values themselves. Kept [period to be set with counsel].

Your rights

Depending on where you live, you have the right to:

  • access the information we hold about you and receive a copy;
  • correct anything that is wrong or incomplete;
  • delete your information;
  • object to our use of your information where we rely on legitimate interest; an objection to direct marketing is always honoured, without you needing a reason;
  • withdraw consent at any time, without affecting what was done before;
  • restrict how we use it, or receive it in a portable form, in the cases the law provides;
  • not be subject to automated decisions: we make none about you, so there is nothing to opt out of;
  • complain to a supervisory authority at any time: for UK residents, the Information Commissioner's Office (ico.org.uk); for residents of the European Economic Area, the data-protection authority of your country (list of authorities); for UAE residents, the UAE Data Office [counsel to confirm the UAE complaints route under the PDPL]. You do not have to raise it with us first, though we would welcome the chance to resolve any concern.

To exercise any of these, send one email to [email protected] from the address we hold for you, or tell us which address that is. We answer within one month; if a request is unusually complex the law lets us take up to two further months, and we will tell you within the first month if that applies. We may ask you to confirm your identity if the request concerns information we could not otherwise be sure is yours. There is no charge. Access and deletion are handled by a person, from an export of everything our system holds about you.

How to object or opt out

If you do not want to hear from us, you do not need to explain why and you do not need to fill in anything. Reply "no thanks", "unsubscribe", "stop" or "remove me" to any message we send, or email [email protected]. A reply containing one of those phrases is recognised by fixed rules, without any AI, and takes effect at once across all our marketing: any message waiting to be sent to you is cancelled, no follow-up is sent, and the address is added to our suppression list so that it is never contacted again, even if it later reaches us from a different source. An objection sent by email to the address above is actioned by a person on the same basis. We send no confirmation and nothing further unless you ask us to.

Cookies and trackers

This website sets no cookies and runs no analytics, advertising or social-media trackers. Nothing is stored in your browser. The only third-party request the page makes is for the Hanken Grotesk typeface, loaded from Google Fonts, which means Google receives your IP address and browser details when the page loads (see Google's privacy policy). If you reach us through a link in an email or advertisement, the campaign tags in the web address are passed to us with your enquiry and are not stored in your browser.

Changes to this notice

We will update this page when our practices or the law change, and change the date at the top. If a change materially affects how we use information we already hold about you, we will tell you by email before it takes effect, where we hold a working email address for you. The current version is always at abudhabigolfhomes.com/privacy.html.
